Privacy policy

Effective October 26, 2026 · mysports.io is operated by Small Planet Online, LLC

The short version: your club owns its data, not us. We hold it only to run the club's registrations. We'll remove any person's data when they or their club ask. We never hold anyone's money and never see a card number.

Who we are, and whose data this is

mysports.io is online registration for youth sports clubs, schools and parish programs. When a family registers with a club through mysports.io, the information belongs to that club. We process it on the club's behalf so the club can run its seasons; we don't own it, sell it, rent it, or use it for anything else.

What we collect

  • From parents and guardians: name, email address, phone number, and a password you choose (stored only as a one-way hash).
  • About children: name, date of birth, gender and school grade, entered by a parent or guardian so the club can check eligibility. We collect children's information only from the adults responsible for them, never from children directly.
  • Registration answers: whatever the club's registration form asks (jersey size, medical notes, a waiver acknowledgement). The club decides what to ask; the answers go to the club.
  • Payments: the amount, the date, which registration it was for, and a Stripe reference. We never store a card number. Card details are entered on Stripe's secure payment page, not on our servers.
  • From club admins: name, email, phone, and the club's details, including the connection to the club's own Stripe account (a Stripe account id, never a key or password).
  • Technical: the server keeps standard access logs (IP address, page, time) for security and to keep the site running. To keep spam accounts out, the sign-up and contact forms use Cloudflare Turnstile, which checks the browser for signs of automation without tracking you across sites or showing ads. On our public marketing pages (the home page, the comparison guides, "start your club", "contact") we use Google Analytics to count visits. We do not run analytics on any page a family uses to register, pay, or manage their account.

Who sees it

  • The club's admins see the families, children, registrations and payments for their club, which is what they need to run it. They don't see other clubs.
  • Parents and guardians see their own account and their own children.
  • Stripe processes card payments. Stripe's handling of payment details is covered by Stripe's privacy policy.
  • Our email provider (Mailgun) delivers the emails the site sends: confirmations, receipts, reminders and announcements from your club.
  • The people who run mysports.io can access the data to support clubs and keep the service working, and for nothing else.

We do not sell personal information, we do not show advertising, and we do not share data with anyone else except when the law requires it.

Your money

mysports.io never holds funds. Card payments go directly from the family to the club's own Stripe account. Cash and check payments are handed to the club and recorded by the club's admin. Refunds are decided by the club and come from the club's account. mysports.io charges clubs a subscription for the software and charges families nothing.

Removing your data

Any parent, guardian or club admin can ask us to delete their personal data, or a child's data, by emailing [email protected] or using the contact page. We'll confirm who you are, tell the club where the law or the club's own record-keeping requires it, and remove the data within 30 days. Records of completed payments may be kept where needed for the club's accounting or tax purposes; everything else goes.

A club that leaves mysports.io can ask for a complete export of its data and for its data to be deleted from our systems.

How long we keep it

As long as the club uses mysports.io and the family has an account, so that returning families don't have to re-enter their children each season. Past seasons' registrations are kept so the club has its history. Server logs are kept for a short period and then deleted.

Security

All traffic is encrypted (HTTPS). Passwords are stored as one-way hashes. Card details never touch our servers. Access to the data is limited to the club's own admins and the people who run the service. If we ever learn of a breach affecting your data, we'll tell the affected clubs and families promptly.

Children

mysports.io is used by adults to register children. We don't knowingly collect information directly from anyone under 13, and children don't have accounts. If you believe a child has provided information directly, email us and we'll remove it.

Changes

If this policy changes in a way that matters, we'll post the new version here with a new date, and tell club admins by email.
